Minutes Styles

Pacific Transcription has identified three styles of minutes: Simple, Complex and Very Complex. Each style or ‘band’ has a distinct description, length and style. Talk with us about which band your meeting minutes will fall under.

Our three styles of minutes are defined by the meeting type and length, complexity of minuting requirements, and minuting style.

A Detailed Description of each Style of Minutes

Simple

Description: Simple meetings are meetings with straightforward minuting requirements, such as: team and committee meetings, AGMs, and some simple Board and subcommittee meetings with short duration, limited discussion, and participants.

Length: Simple meetings generally generate up to approximately 600-1000 words per hour of meeting, equating to approximately 2-4 pages per hour of meeting.

Style: For Simple meetings, motions, resolutions, and action items are recorded, and the key points of relevant presentations and/or discussions are briefly summarised.

Complex

Description: Complex meetings are meetings with more complex minuting requirements, such as: Board and subcommittee meetings, advisory committee meetings, and other complex meetings with long duration, many participants, and wide-ranging discussion.

Length: Complex meetings generally generate up to approximately 1000-1500 words per hour of meeting, equating to approximately 4-7 pages per hour of meeting.

Style: For Complex meetings, style is as per Simple meetings, where motions, resolutions, and action items are recorded, and the key points of relevant presentations and/or discussions are briefly summarised; along with documentation of all factors material to decision making, including any conflicting or dissenting views.

Very Complex

Description: Very Complex meetings are meetings where the discussion must be captured in full. Examples include: project update meetings, such as building and infrastructure projects where multiple people from various organisations or arms meet to discuss project progression.

Length: Very Complex meetings generally generate 1500+ words per hour of meeting, equating to approximately 8+ pages per hour of meeting.

Style: For Very Complex meetings, all discussion is converted into a highly detailed, full, and complete narrative of everything said, and by whom. The minutes will read almost like a full transcript, though professionally formatted/worded, and in past tense.
